Frequently Asked Questions #
Can I route walk-ins by service or let clients choose a team member?
Service routing is optional. Owners or authorized managers create the shop’s custom services and assign eligible team members; staff can pause or resume assigned services for the shift. The kiosk does not let customers choose a specific team member. There is one shared rotation, with eligibility affecting the order for each service.
Do I need accurate GPS to create my business or set up booth rent?
Device location is not required to create the business or manage booth-rent accounting. Walk-In Manager requires the kiosk’s saved business location, and team members use precise location for daily on-site check-in. Complete the location setup before expecting the team to join the rotation.
Will I still receive walk-in alerts if my phone is locked or the app is closed?
Allow notifications and verify alerts on the phone you will use. Supported push notifications can arrive while the phone is locked or the app is not open, but internet access, permissions, and background settings matter. A successful test alert does not check you into the daily rotation. Alert troubleshooting.
Can an owner remove a staff member who no longer works at the business?
Owners and managers with the required Walk-In Manager authority can remove former team members from the business’s walk-in team. Review their access promptly. Removing walk-in participation should not be treated as canceling their appointments, ending rent terms, or deleting their entire Haircut Now account.
Why can’t I mark a walk-in service complete yet?
After you accept, the two-minute Accepted — verify the client countdown runs first. Service starts automatically when it ends. The business’s minimum-completion timer starts at service start, not acceptance. Choose Mark Complete only after the actual service is finished and that minimum has passed. During the verification window, use Walked Out or Not a Walk-In for an incorrect entry.
What happens if I do not respond to a walk-in offer in time?
How is the daily staff rotation determined?
The shared daily rotation starts in check-in order and resets with the shop’s local business date. Only eligible Ready team members receive visible numbered positions. With service routing enabled, the eligible order depends on the service; there is no universal next-up position across every service. Check in again each workday.
Who should use Walk-In Manager?
Walk-In Manager is designed for businesses that serve walk-in clients and need a fair, visible way to manage staff availability and client flow. Owners and managers control business settings, team access, the kiosk, and reports. Staff use it to check in, receive walk-in offers, pass when needed, complete services, and return to Ready status.
Where do I manage appointments and other products in Biz?
Use Schedule for the connected Marketplace calendar and the separate Same-Day route for those appointments. My Business provides supported listing, card, and product tools. Controls depend on your app version and account access; use the linked website workflow if needed. Shop operations are managed in Haircut Now Shops. All Biz help.
Why am I not receiving same-day requests?
Requests depend on nearby client demand, your workplace location, account eligibility, and working notifications. Eligible non-mobile barbers generally receive requests within approximately 15 miles. Verify your profile and phone notifications, and use the latest available app version. Premium does not guarantee requests, and mobile barbers are not eligible.
Does accepting a same-day request guarantee the client is booked with me?
No. Several eligible barbers may receive the request. Follow the response and confirmation steps, then check that a confirmed appointment appears for you. Review the service, time, location, and payment arrangement before providing service. Same-day requests are separate from your Marketplace booking calendar.
Why is my existing listing or Digital Barber Card missing in Biz?
Check that Biz is connected to the Haircut Now account that owns the listing or card. Profile setup and verified ownership are separate steps. Use the account-connection or account-switch option offered. Do not create a duplicate listing or buy another subscription to fix an account mismatch; contact support if the connection remains incorrect.
How do I get started with Haircut Now Biz?
Use your existing Biz login if you already have an account. If you own a Marketplace listing but have not joined Biz, use Connect my existing listing when offered and complete ownership verification. New barbers should use registration. Complete your workplace and profile details and enable notifications. Biz setup guide.
What happens to my bookings if I downgrade to a Free listing?
Public online booking is removed, but your account and appointment history are retained. Free provides a private manual calendar; its manual entries do not send automated booking email/SMS messages. Premium client, service, and availability controls are locked. A downgrade is not a cancellation action—review upcoming appointments. Premium booking help.
Does Premium booking collect payment and send customer messages?
For the direct-payment booking flow, clients pay you at the appointment; a booking confirmation is not proof of payment. Eligible paid booking actions use configured email/SMS notifications. Channels, reminders, and follow-ups depend on active settings and valid contact details. Same-day requests use a separate payment workflow.
How do I add, reschedule, or cancel a Premium appointment?
Open Appointments → Manage Appointments. Select or enter the client, choose a service and available time, and save. Use the existing appointment’s Manage action for changes or cancellation. Check the saved result and coordinate changes with the client. Website appointment guide.
How do I change booking services, hours, breaks, and time off?
Use Services for offerings, prices, durations, and active status. Use Availability for weekly hours, breaks, and Time Off / Block Time. Save and check the public result. Review existing appointments separately; time off overlapping a booking may be rejected, and changing hours does not reschedule appointments.
What do I need before clients can book my Premium listing?
Use the account that owns your claimed eligible Premium individual listing. Open My Appointments or Booking Manager, add active services with prices and durations, save availability, and check your time zone. Test the public listing’s booking options. Setup guide.
Will turning a provider’s booking off cancel their appointments?
Do not treat that switch, service deactivation, or time off as a cancellation action. Review existing appointments separately and use their edit or cancel controls when needed. Check the selected team member before changing records, and confirm changes with the customer. Shop Bookings help.
Why does Shop Bookings show a setup or ownership error after purchase?
Package access and the shop’s booking connection must both be ready. Confirm the correct shop and owner account. A provisioning or ownership message needs setup or connection review; it does not mean you should purchase another package. Contact support with the shop name and exact message.
How do I make a team member available for online appointments?
In Booking → Team, add or link the correct active Haircut Now member account and turn booking on. In Services, assign active services. In Settings, save the provider’s weekly hours and check time off and the business time zone. Then check the public booking page. Linking the account alone does not complete setup.
Who can manage my shop’s bookings?
Which package includes Shop Bookings?
Shop Bookings is included only with Shop Complete. Individual Marketplace Premium is for an individual booking profile, while Shop Complete supports shop team booking. Sign in to Haircut Now Shops and open Booking. Shop setup guide.
Where do I find rent history, reminders, and year-end records?
Review the current balance, last payment received, and Recent ledger for the last 30 days. Use the available PDF or CSV annual downloads for records. Send manual reminders when needed. Use the product’s correction and rent-ending controls rather than entering a payment you did not receive. Booth Rental Manager help.
How do renters see their balance or report a payment?
Enable Give this renter access to My Booth Rent with the renter’s account email. That option does not automatically send an invitation email; tell the renter how to sign in. Review submissions under Reported payments before accepting them into the balance. A reported payment is not proof you received the money.
How do I bring over rent already owed without charging it twice?
How do I set up Booth Rental Manager?
Open Booth Rental Manager in Haircut Now Shops. Add a renter, choose recurring or one-time rent, enter the amount and schedule, and set the opening balance with its Balance as of date. Configure optional rent terms and renter access. Owner setup guide.
Where do I manage my Card subscription and see results?
Use Manage subscription in the card manager for the available billing controls. Pro’s Last 30 days shows views, QR visits, downloads, and action clicks. These counts do not confirm completed bookings, calls, saved contacts, or revenue. If paid access is missing, verify the owner account before purchasing again.
Will my QR code or card link change when I update or upgrade the card?
How do I edit my card or add my existing booking link?
Can I use Barber Card Pro without a Marketplace listing?
Yes. Sign in to your card manager with the account you intend to keep. If no card exists, use the Pro setup offered, choose a public username and billing interval, and review checkout. Marketplace Premium and Card Pro are separate products.
What is included in Basic versus Pro Digital Barber Card?
Basic is available with an eligible claimed individual listing and uses its connected Marketplace profile. Free-listing Basic is contact-only; eligible paid individual listings can provide their Haircut Now directory booking link. Pro adds independent editing, external booking links, custom design, analytics, and SVG QR downloads. Card help.
What should I do if a product I already pay for is locked?
Check the signed-in account, business or listing, active plan, and role permissions. Finish any ownership or setup prompts, then reload. Contact [email protected] with the product, account email, business/listing, and exact message if access remains wrong. Do not create duplicate accounts or purchases to bypass a connection issue.
Where do I check prices, trials, renewal, or cancellation?
Use the Pricing page and review the selected product’s checkout terms for its price, billing period, and trial. Manage an existing subscription through that product’s billing controls and check the effective renewal or cancellation date. Canceling one product does not automatically cancel unrelated subscriptions.
Which app should my shop’s barbers and managers use?
Haircut Now Biz provides individual barber and same-day tools. Haircut Now Shops provides shop operations and the access assigned to each member. The Haircut Now client app is for customers. Use the product’s setup guide and the correct connected account; logging into one surface does not grant every shop permission.
Does buying one Haircut Now product unlock every other product?
What is the difference between Shop Operations and Shop Complete?
Shop Operations combines Walk-In Manager and Booth Rental Manager. Shop Complete adds Shop Bookings and its package benefits. Each product still needs its own setup: team rotation, rent terms, and booking services/hours are separate. Review the current pricing and package details before subscribing.
